In today's business world, it's common to be involved with virtual team meetings. They can add a layer of distraction to a meeting if you haven't set some norms around them before. Here are our VIVO norms for virtual team meetings: ARRIVE ON TIME, BE PREPARED Sign on 5 minutes prior to the meeting. This will give you time to make sure that you have your headset and video camera set properly, and meeting materials close by. LOOK AT YOUR CO-WORKERS Not sure whether to look at the camera or your co-workers? Choose your co-workers. MUTE YOURSELF If there is a great deal of background noise ie: construction next door or perhaps, you're sneezing and sniffling with a cold, mute yourself while others are presenting. RESIST TEMPTATION We are all so busy these days that it might be tempting to check an email, finish a task or text your spouse while in the meeting. Please resist this temptation. Turn off all programs - it will help your computer run faster and decrease the temptation to multi-task. Silence all other devices, you may even wish to unplug your landline and feed the dog before the meeting. RESPECTFULLY REJOIN If you have an audio or video issue, you may need to reboot and/or troubleshoot. Do this on your own and when you are ready, rejoin the meeting without causing a disruption. BUSINESS ON THE TOP, PARTY ON THE BOTTOM You may be in your home office for this meeting but it's still important to look the part. So feel free to be in your flowered shorts but make sure the camera is picking up business casual attire. IT'S NOT A MIRROR, IT'S A CAMERA Resist the urge to adjust yourself on camera. No need to fluff your hair or groom your mustache during the meeting - you look great just as you are! THROW RADIO STYLE When you make statements, be succinct and let others know when you are done. ie: "back to you, Suzy..." LISTEN AND REFLECT Effective meetings require all of us to be clear on statements made so that after the meeting we can take action. One person speaks at a time. Listen to what they are saying instead of thinking of what you will say next. When you do not understand something, do not sit in silence but rather repeat what you heard back to the speaker for clarity. This reframes your co-worker's statement to all participants. Clarity often comes in the reframing. Do not add unnecessary chat (like saying yes after every point). It is distracting If everyone in your team is aware of these norms (and abides by them) you will have seamless virtual team meetings.

I was dreading having to get up in front of the room. But it was one of my required classes and there was no turning back. When I got up in front of the room for my first speech, my hands were shaking and so was my voice. I thought "Great, here's a bunch of people who are going to judge me while I try not to sound like an idiot isn't this fun!" After I got through it I opened my eyes and realized "Hey, I'm alive!" but I hated that fact that I let fear and nervousness hold me back and stop me from really being able to speak in front of people. Then earlier this year I found myself in another class where I had to deliver another speech with almost no prep. But I was determined to not let those nerves get the best of me. As scary as speaking in front of people can be, in whatever scenario, it's such an essential skill to have and fear to conquer which is why I wanted to share what helped me take in on in this week's video! Almost every manager wants to know--how do you motivate people? It is the question that managers ask the most during my consulting relationships. This leadership training video will answer that question. Here’s the short answer: everyone is already motivated! You don't motivate them. Instead, you influence them to learn to be more motivated towards your department or team's goals. Do you need to motivate your team to achieve better performance? Are they stuck or under-performing? To begin, get to know and understand your employees more. Ask yourself a few key questions about each person on the team, and use your answers to guide your interaction with them. Most people think they are performing better than they are. Most can perform significantly better than they are. The goal here is to implement a consistent and frequent way of communicating with employees about their job expectations and performance. Done genuinely, casually and with integrity, it is not threatening, and it works. Liken this to a coach preparing his team for the next the next game. They create a game-plan as a team and execute it every day during training and practice. The communication is real time, ripe with feedback and engagement. The better they work together, the better their chances to win. Create a positive climate, hold team meetings and do planning together are some of the keys to success. Follow-up, invest the time, and you will find most of your employees will become more excited and engaged, if not inspired, team players. But if you are the one that keeps coming up with all of the ideas as to how to make things better, it can be counterproductive. The secret is to get contributions from the team members themselves. Now, getting some input and suggestions from the team can be a little more difficult than it may seem at first glance. The idea of holding meetings or creating a forum encouraging team members to use their imaginations or to come up with solutions to some of the problems they identify in your business — or even getting them to identify what they consider to be problems in the business — can be a struggle. You introduce the idea and you're met with silence and blank stares. That sort of response when you first introduce this idea is quite common and can be really frustrating, but the power and value of persisting is well worth it. Don't fall into the trap of saying this is too hard and then giving up. Even worse, don't introduce your own ideas and tell the team, "Okay, this is how we're going to be doing these things from now on." You'll find that to be counterproductive when the whole idea of doing this is to lighten your load. Remember — many hands make light work. There are several reasons as to why this might be happening. It could be because some of your team members have experienced this in previous jobs. Their boss said, "Listen, when I want your opinion, I'll ask for it." They never had the opportunity to contribute. It could be that they tried to contribute in the past — either in your business or in previous jobs — and they weren't listened to at all or after a while they felt they were just being paid lip service. Nothing ever came of it. Nothing eventuated. Their ideas weren't actually put into practice. These are all things we need to be aware of. We don't want to replicate these mistakes when we're creating this environment — setting the stage for people to contribute — because it is really powerful. I'm encouraging you to go through the frustration and go through the pain. I realize what I say here may be out of proportion with your business, but I just want to put it out on the table so you're aware of it. If it is happening, please persist because it will be worth it. How do you get around it? Well, one suggestion is to start off small. Don't be looking for earth-shattering, world-changing responses from your team. Some of the ideas may, in your view, seem a little lame. May not be very powerful. But remember what we're trying to do, here. We're trying to establish an environment where contributions from your staff are encouraged and rewarded. All contributions need to be taken seriously. It's important to recognize people for making the effort — because that's the thing that is holding them back — that they haven't had any reward, recognition or appreciation for making contributions in the past in the form of someone actually saying something. Just following through proves — by action rather than through words — that you're serious about getting more suggestions, ideas and contributions from everyone. A couple of things to watch out for. Make sure if you think you have a better idea that you don't trump other people's ideas in the team with your own. Remember, the key is to get them to contribute. Perhaps you can open up a discussion about how that idea can be improved. If we were to implement it, this might happen or that might happen. Have you thought about how we might be able to overcome this? Or have you considered this? You then can offer your idea on the table as, perhaps, an improvement or a bolt-on to their idea. The secret is to make sure that these ideas remain their ideas. When these ideas are the team members' ideas, you'll find that the buy-in and the engagement will be significantly higher than if you're continually coming up with the ideas yourself, putting them on the table and saying things will be done your way.

You need to make sure that you are prioritizing of what you need to do first in the way that you need to act and also the way that you need to do things before everything else. If you don’t make sure that you are doing what you need to before everything else you will find that your gender will be stolen from you very quickly. Distractions are not a scares resource however your own intention you own your own focus and your own energy is the most scares resource that you have and it is very important that you invest it very wisely. So what it comes down to is down to that you have to hold your own intentions above everything else if you are going to get anything significant done in today’s world. This means that whenever you need to accomplish a task that is really important to you maybe some goal that you are after or maybe even improving a skill that you want to be to get really good at you need to make sure that you have to be willing to put everything into that is going to help you and push everything else aside. Pushing everything aside to achieve the best that you can could mean that you have to push people aside so that you can go get what you truly want. If you are trying to go for high end results than anything that you want to do in your life it is very important for you to realize that people are going to come to you and beg asking for your attention your time your energy sometimes there won’t be any more rude and just take it away from you pushing your attention from you and put their own in front of yours. At that point you need to put together all the personal power that you have, learning how to say no to people that are pulling off and away from goals away from your attentions and towards there’s instead. Unless these two attentions your and there’s aligns some way or another you have to be willing to say no push them away and say “I am going to go ahead and do what I need to do in order to get to where I want to be” If you want to be highly successful dabbling is something that you don’t want to be engaging in so if anyone is trying to pull you aside to some stupid thing that is going to not help you to move forward you have to be willing to cut it and say “no I am going to move forward and do what I need to do in order to achieve what I want to be” because you know what it is going to take of you to achieve that. Now most people will claim that they are able to say “No” and in fact they won’t admit that they do not have the strength to decline offers from people or to be able to decline other peoples engenders and put their own first.
